General Responsibility Overview

The Payroll Specialist will be responsible for the coordination and administration of HR related payroll tasks; processing and auditing of scheduled reports according to established timelines and will maintain all data required for legal, tax or audit purposes according to defined department processes. The area of responsibility also includes time & attendant.

Representative Duties

  • Coordinate between business unit personnel and payroll provider as it relates to proper payment and reporting of payroll
  • Coordination with retirement payroll provider to setup new retirees and ensure proper payment of current retirees
  • Process non-pay related maintenance such as voluntary deduction setup / changes
  • Review, check, and maintenance of timekeeping records / historical entries
  • Coordinating special payments, e.g., commission and deduction adjustments as requested with payroll provider
  • Process pre-payroll audits and balancing prior to required transmission approvals
  • Coordination between the regulatory institutions and payroll provider, or HR Business Partners, where appropriate
  • Post payroll processing tasks, e.g., standard report downloads, mailbox cleanup, checklist updates
  • Process reports as defined in department schedules for internal and external customers
  • Prepare and coordinate off-cycle and special payments with payroll provider
  • Monitor and update control spreadsheets required for audit and payroll provider
  • Monitor and address all department communications as required in your role, e.g., global team mailbox and incoming mail
  • Primary contact for regulatory institutions regarding pension funds, health, insurances, etc.
  • Maintain and file electronic payroll records
  • Participation in special projects, continuous improvement processes and digitalization projects
  • Other duties as assigned

Education Requirements

  • Associate degree
  • Or equivalent combination of work experience and education
  • Further training as a personnel specialist

Work Experience

  • 5 years of general HR & payroll processing or administrative experience to include time & attendance, taxes, and wage & hour laws as they pertain to the proper administration of colleague pay.

Computer/Systems Skills

  • ACCURAT, Kronos, Success Factors
  • Microsoft Office, primarily Excel

Additional Skill Set

  • Ability to work in a fast paced, deadline driven atmosphere
  • Ability to multi-task
  • detail-oriented and pragmatic
  • Accounting reconciliation experience
  • Knowledge of the metal collective agreement would be an advantage
  • Exceptional time management, data entry, verbal and written communication skills
  • Very good knowledge of German, good knowledge of English
  • Ability to maintain confidentiality of all payroll records
  • Ability to work in a team environment, customer service oriented
  • Understanding the needs of a production facility

Other

  • Travel is not required, however, may be possible
  • Possibility to work up to 50% in the home office
