General Responsibility Overview

The Payroll Analyst must be proficient with all aspects of the Payroll Specialist and Sr. Payroll Specialist representative duties. In this role, they will also be responsible for assisting with the coordination of all off cycle, quarter and year end payroll processing; all multi-state payroll entries and reconciliations and the preparation of agency reports not processed by third party administrators.   


Representative Duties

  • Input and reconcile all special payroll transactions, including but not limited to equity vesting, taxable fringe benefits, personal car allowance
  • Prepare and file agency reports not processed by third party administrators
  • Primary department contact for internal and external audit inquiries
  • Responsible for special internal reporting, e.g. annual workers compensation audit; insurance renewals

In addition to above, a Sr. Payroll Analyst must be proficient in all Payroll Analyst, Sr. Payroll Specialist and Payroll Specialist responsibilities in order to support the payroll team with day to day responsibilities as shown below:

  • Assisting with Off cycle, quarter end and year end processing and validation
  • Oversight and review of vendor process for wage garnishment administration including managing colleague communications
  • Monitor, log and provide required communications and reports for unclaimed property as it pertains to payroll transactions
  • Review, log and coordinate all tax authority inquiry responses with third party payroll provider
  • Prepare and coordinate month end, quarter end and year end finance reporting
  • Prepare and maintain payroll reconciliations, including but not limited to payroll tax returns and year end W2 forms
  • Create payroll reports as needed by our internal and external customers
  • Reconcile GL output and work with accounting colleagues on any posting / balancing inquiries
  • Submit AP requests for various payroll related transactions
  • Process non-pay related maintenance such as voluntary deduction setup / changes
  • Process employee payroll, including oversight of timekeeping records / historical entries
  • Input special payments, e.g. commission and deduction adjustments as requested
  • Prepare payroll processing checklist in order to balance reported payroll changes and payment of wages
  • Process pre-payroll audits and balancing prior to required transmission approvals
  • Post payroll processing tasks, e.g. standard report downloads, mailbox cleanup, checklist updates
  • Prepare and process off cycle payments to colleagues
  • Monitor and update control spreadsheets, e.g. Quarter Reconciliation
  • Process reports as defined in department schedules for internal and external customers
  • Monitor and address all department communications as required in your role, e.g. global team mailbox
  • Work with business unit personnel as it relates to proper payment and reporting of colleague payroll
  • Answer escalated colleague questions regarding their pay check
  • Maintain and file electronic payroll records
  • Other duties as assigned


Education Requirements

  • Bachelors degree
  • Or, equivalent combination of work experience and education



Professional Credentials

  • Fundamental Payroll Certification (FPC) designation
  • Certified Payroll Certification (CPP) designation preferred


Work Experience

  • Minimum 5 years of general multi-state payroll processing experience to include taxes, garnishments and wage and hour laws as they pertain to the proper administration of payment of wages; global payroll processing experience preferred


Computer/Systems Skills

  • ADP Payroll / Smart Compliance, Globalview, Enterprise eTime, Kronos, Success Factors
  • Microsoft Office, primarily Excel
