Now, Let’s Get Down to Business

This is a dual role combining high-level Executive Assistant support with full ownership of the London office. You’ll work closely with the General Manager, Northwest Europe, and the wider leadership team, ensuring smooth day-to-day operations and an outstanding office experience.

Here’s a Sample of What You’ll Get Up To

Executive Support

  • Provide comprehensive administrative support to the General Manager and hub leadership team
  • Proactively manage complex calendars, meetings, and priorities
  • Organise domestic and international travel, including itineraries, expenses, and reimbursements
  • Support commercial planning activities, including maintaining planning calendars
  • Coordinate leadership meetings, conferences, and off-sites

Financial Administration

  • Raise and track purchase orders (POs)
  • Manage invoice processing and sign-off in line with company policies

Office Management

  • Own the day-to-day operations and overall performance of the London office
  • Ensure the office is well-maintained, safe, welcoming, and productive
  • Act as the main point of contact for the landlord and office suppliers
  • Manage incoming and outgoing post and deliveries
  • Partner with People Ops and IT on onboarding, offboarding, and employee experience initiatives
  • Support team-building activities, wellbeing initiatives, and office events
  • Handle ad-hoc tasks to keep the office running smoothly

Meetings, Conferences & Events

  • Organise and support internal and external meetings, including logistics, catering, and technology setup
  • Coordinate UK conferences, leadership events, company celebrations, and ad-hoc events
  • Support customer brand days and client meetings

We’re looking for someone with proven experience as an Executive Assistant and/or Office Manager, ideally within a fast-paced, commercial environment.

  • Experience supporting senior leaders under pressure with professionalism and discretion
  • Strong organisational and time-management skills with exceptional attention to detail
  • A proactive, solution-focused mindset with a hands-on approach
  • Confidence working independently while collaborating with senior stakeholders
  • Excellent interpersonal and communication skills
  • High levels of trustworthiness when handling confidential information
  • Strong Microsoft Office skills, particularly PowerPoint
  • Experience with financial processes such as PO raising and invoice management
