The Purchasing and Production Specialist works under the direction of the Director, Purchasing and Production, and has a key role in the purchasing and contract manufacturing process.  The Purchasing and Production Specialist is in contact with component suppliers to ensure materials deliver to contract manufacturing locations in time to fulfill finished goods orders by the requested due date.  The Purchasing and Production Specialist also works closely with contract manufacturers to ensure finished goods orders are delivered by the requested due date.   The Purchasing and Production Specialist consults closely with Planning & Forecasting to determine what actions and changes are required on an on-going basis to ensure on-time delivery.

Responsibilities of the position include, but are not limited to the following:

  • Actively manage contract manufacturing performance and seek on-going opportunities to improve and optimize relationships.
  • Establish delivery schedules, monitor progress, and maintain on-going contact with contract manufacturers to resolve delivery issues. 
  • Review purchase orders to ensure that all information accuracy and order quantities are optimized to take advantage of price breaks across multiple production runs.
  • Send purchase orders to contract manufacturers and confirm receipt.
  • Actively follow-up with contract manufacturers and component suppliers to ensure that orders are progressing smoothly to meet requested due dates.
  • Send updated Bills of Material (BOM) and Specifications and request that artwork file changes are sent to contract manufacturers for updates.  
  • Actively manage purchasing tracking notes related to all orders- update pricing, ship to location, delivery date and contact info for shipment arrangement.
  • Update and maintain purchase order weekly status report.  Communicate any urgent issues to Director and demand planning team.
  • Manage and maintain product & packaging for Sports Program. Work with Planning & Forecasting to generate order for production, components & packaging.
  • Act as the liaison with the quality manager to facilitate follow-up with Contract manufacturers on quality issues or defective products that are received. 
  • Add new items and BOM’s into ERP system.

 

Experience & Qualifications:

  • 5+ years of experience in purchasing, preferably with a packaged goods or personal care products company
  • Strong computer skills required (MS Office, Word Document, Excel); knowledge of Microsoft Navision (NAV) a plus.
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Flexible to work with several departments
  • Accurate data entry skills
  • Meticulous attention to detail
  • Ability to handle multiple tasks with a sense of urgency.
  • Excellent problem-solving skills
  • Comfort level working in a fast paced environment.
