Purchasing Coordinator

The Purchasing Coordinator works under the direction of the Director, Purchasing and Production, and has a key role in the purchasing process.  The Purchasing Coordinator is in contact with component suppliers to ensure materials are secured to deliver to the contract manufacturing locations in time to fulfill finished goods orders by the requested due date.  The Purchasing Coordinator is in contact with contract manufactures to secure finish goods to deliver by the requested due date.   The Purchasing Coordinator consults closely with Planning & Forecasting to determine what actions and changes are required on an on-going basis to ensure on-time delivery.


Responsibilities of the position include, but are not limited to the following:

  • Works closely with the Purchasing and Production Specialist to assist with contract manufacturing performance and seek on-going opportunities to improve and optimize relationships.  
  • Establish delivery schedules, monitor progress, and maintain on-going contact with contract manufacturers to resolve delivery issues.   
  • Review open order report to ensure all PO are confirmed and processed.
  • Update due dates on purchase orders in a timely manner.
  • Update Purchasing and Planning of any component delays in a timely manner.   
  • Connect with component suppliers to ensure that orders are progressing smoothly to meet requested due dates.  
  • Assist the review of purchase orders to ensure that all information accuracy and order quantities are optimized to take advantage of price breaks across multiple production runs.  
  • Assist the Purchasing and Production Specialist with purchase order updates requested by Planning & Forecasting. 
  • Maintain finished good delivery log to ensure that the completion quantity is updated on the purchase orders.
  • Works closely with Planning & Forecasting to update the completion quantity on the Production Order.
  • Assist with follow up of receiver documentation from contract manufactures.
  • Follow up with logistics to make sure finished goods and components shipments have been secured.
  • Part number Creation.
  • BOM Set Up.
  • Inbound logistics and transfers between suppliers.
  • Key Purchase Order for collateral good.


Experience & Qualifications:

  • 1 + years of experience in purchasing, preferably with a packaged goods or personal care products company
  • Strong computer skills preferred (MS Office, Word Document, Excel); knowledge of Microsoft Navision (NAV) a plus.
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Flexible to work with several departments

  • Meticulous attention to detail
  • Ability to handle multiple tasks with a sense of urgency.

  • Comfort level working in a fast-paced environment.
